Step 1 — Immediately After the Loss
- Ensure safety — evacuate if necessary; call 911 for emergencies.
- Take photos and videos of all visible damage before moving anything.
- Prevent further damage (board up windows, tarp roof, extract standing water).
Keep receipts for all mitigation costs — they are reimbursable.
- Notify your insurance company / agent to open a claim ASAP.
- Record your claim number and adjuster contact information.
- Save all damaged items — do not dispose of anything without insurer approval.
Step 2 — Documentation
- Create a written inventory of damaged or destroyed property with estimated values.
- Locate receipts, bank statements, or photos showing pre-loss condition/value.
- Request a copy of your full insurance policy and declarations page.
- Document all communication with your insurer (dates, names, summaries).
- Obtain police/fire/incident reports if applicable.
Step 3 — The Adjuster Inspection
- Be present during the adjuster's inspection — or arrange a representative.
- Point out all damage, including items that may not be visually obvious.
- Ask the adjuster to explain anything you don't understand.
- Request a copy of the adjuster's report and scope of loss.
- Get independent contractor estimates for comparison before signing off.
Step 4 — Settlement Review
- Review the settlement offer line-by-line against your contractor estimates.
- Check for ACV vs. RCV — know if you have replacement cost coverage.
- Identify any items denied or reduced — request the reason in writing.
- Negotiate or supplement if items are missing or undervalued.
- File a formal dispute or appraisal demand if negotiations stall.
Step 5 — Repairs & Close-Out
- Hire licensed, insured contractors — verify credentials before signing.
- Do not sign any "Assignment of Benefits" (AOB) without legal advice.
- Keep all paid invoices and receipts for recoverable depreciation claims.
- Request recoverable depreciation payment once repairs are complete.
- Confirm claim is closed in writing and retain all documents for 5+ years.
